How do I install a predefined Workflow Template?

Go to www.actionstep.com/store/.  Select the Workflow you want, and click on Install App.  Log in to Actionstep and follow the steps.

How do I delete a Workflow Template?

For Workflows downloaded from the Actionstep App Store, remove these via Subscription Settings (accessible by selecting your firm's name in the top lefthand corner of your Actionstep homepage).  On the right under "Installed Apps" you will see a list of all of your installed apps. Select the link for the app you want to remove access to. Here you'll be able to revoke or grant access by user. If you revoke access to all users this will prevent users from creating new matters of this type. It will not delete the action type itself though as there may be existing data.

Workflows created in your Actionstep system cannot be deleted, but can be disabled (as all Workflows can). You can also disable the Workflow from the Admin function.

Tip
titleGo to

Admin > Workflow > Action Types > Select Action Type > Edit Action Type >Tick "Disable" > Save

Why can't I see my new workflow when creating actions?

This is probably a permission problem. Check the system role associated with the user's login record and make sure that role has access to the action type you created.

Tip
titleGo to

Admin > Permissions > System Roles > Select the role then click 'Edit System Object Permissions' - System Object Permissions

Why can't other users view the custom data collections?

In addition to granting permissions to the action type system object, you will also need to grant permissions to each data collection that you create.

Edit the System Object Permissions by following the directions above.

Why don't the Action types show up on the calendar and invoices?

This is probably because you have not set the Primary Participant for the action type.

Tip
titleGo to

Admin > Workflow > Action Types > Select the Action Type > Participants > Check that one has been defined as Primary.

How do I close a matter?

Matters must be at the end of the step tree to be closed. Moving to the last step may automatically close the matter. This will only happen if the step has been configured to close on this step. If the step does not move the matter to closed you can still do this manually by clicking the matter name the clicking the Edit button. Now select Closed from the Status drop down menu.

Can Dropdown List Choices be Conditional on a Previous Selection?

Yes. If you have two or more dropdown fields in a data collection you can limit the options available to the user based on a prior selection in a parent dropdown fields. To enable this select the "Parent Dropdown" option when creating the child dropdown field.
