Mass Billing button on the Bill Workflow

On this screen, multiple matters can be billed at once. Billing settings are inherited from the matter. Unlike creating a Single bill, each matter applies the quote settings without prompting the user. This means that if a matter is set to bill WIP when WIP exceeds quote(or other configurations), that will happen automatically.

Mass Billing Options


Similar to the Single bill options, these settings are applied to all matters in the list.

AR date
The Accounts Receivable date is the user selected date that is used when posting bills to the general ledger. It is also the date used for aging an invoice.

Bill up to
Includes activity and items up to and including thism date.

Bill template
Defaults to using matter default. This will allow each matter to use a specific template. Can also be set to use the same template for all matters.

Payment terms
Default payment terms for all bills.

Mass Billing Columns

Column headings can be selected to sort the list by that column.

Matter Information


Checkbox
Select/deselect matters to bill

Matter Id
ID of the matter to be billed. Selecting this opens the matter.

Matter Name
Name of matter to be billed. Selecting this opens the matter.

Selecting the Matter ID or Matter Name launches the single bill screen for that matter.

Responsible Lawyer
Participant designated as the Responsible Lawyer


Matter Type
Type of matter

Matter Billing Status
Inactive/active billing status of matter

Client Name
Name of the client to be billed

Arrangement
Billing arrangement for the matter - Hourly or Fixed fee


Bill Information

Fees
Total fees that are included on the bill.

Fee Adjustments
Total fee adjustments on the bill

Expenses
Total expenses that are included on the bill.

Discount
This reflects the amount of the discount applied to the bill.

Sales Tax
Amount of tax on the bill

New Charges
Fees + Expenses + Tax - Discount

Retainer Xfer(transfer)
Funds applied to the bill from general retainer

Trust Xfers(transfers)
Funds applied to the bill from the trust account

Prior Balance
This shows the previously billed, but unpaid, balance for the matter.

Amount Due
Total new charges - Transfers + Prior balance

Retainer Bal.
Balance of funds held in general retainer for the matter

Trust Bal.
Balance of funds held in trust for the matter


Matter Bill Output Options

Email
The email address to which the bill will be sent

Print
Number of bill copies that will be printed

E-Bill
Displays the E-bill format for the matter

Options > Edit options


Selecting Edit options launches a popup to edit the matter bill output options. Once edited, the options are saved back to the Basics section of the Matter Billing Options for that matter.


The list can be further filtered by selecting Filter. This provides options to filter by each column.

The Refresh updates the list to make sure it is including all data. This is useful when using separate tabs/windows or when other users are entering/changing billing information.

Bill all is available when no items are checked. This bills every matter on the list, and sends those bills to the Review step of the billing process.

If some items are checked, the Bill selected option appears. This will bill only selected matters, and send the bills to the Review step of the billing process.


Selecting Bill all or Bill selected will launch a dialog, confirming that all applicable matters are to be billed before moving to the Review step.

Selecting OK moves the bills to the Review step.
